The code carries a vCard record — the same format your phone exports when you share a contact. Typical fields are name, organisation, job title, phone, email, website and postal address. The scanner shows a contact card with those fields filled in, and the person taps save.
Most scanners have the broadest, most reliable support for vCard 3.0, which is what we generate. Version 4.0 is newer but is still handled inconsistently across phones, and a contact card that half-imports is worse than one with fewer fields.
A QR code holds a fixed amount of data — around 4,300 alphanumeric characters at the largest size. Long before you reach that limit the pattern gets visually dense, and dense codes need to be printed larger and held steadier to read.
A vCard with name, title, company, one phone number, one email and a website scans easily at business-card size. Add a full postal address, three phone numbers, a long job title and a note, and you have a code that struggles at 2 cm across.
Embedding a photo is the fastest way to make a vCard code unscannable. Photos are large, and the pattern becomes far denser than print at card size can carry. Leave the photo out.
A static vCard code is permanent, which cuts both ways. The details are fixed in the pattern, so the code works forever with no subscription — and it also cannot be corrected. Change job, number or email and every printed card is out of date.
If you print in volume, or the details are likely to change, a dynamic code is the honest recommendation: it points at a short link you control, so you update the contact details once and every card already in circulation follows. You also see how many people actually scan them.

Aim for at least 2 cm square on a business card, with a clear margin around the pattern — crowding it against a logo or the card edge is the most common reason a code fails to scan.
Download SVG for anything going to a printer so the code stays crisp at any size, and keep the contrast high: dark pattern on a light background. Inverted or low-contrast codes look elegant in a mockup and disappoint in a restaurant with dim lighting.
